Policy Officer - Remote / Work From Home

ABOUT THE ORGANISATION
DANA is the national representative body for a network of advocacy organisations throughout Australia. Its vision is to provide a collective voice on the value of independent advocacy to support and promote the rights of people living with disability.
DANA is delivering the secretariat function for the NDIA and Disability Representative Carer Organisations (DRCOs) forum, designed as a central hub for overseeing co-design and collaboration for reform within the NDIS.

ABOUT THE ROLE
As Policy Officer, you will provide policy, secretariat and logistical support to the DRCOs in their work with the NDIA, a critical aspect of making this collaboration successful.
Reporting to the Policy Coordination Manager, you will help with mapping out timelines for meetings and working groups, collate agenda items, organising meeting logistics and complete minute taking. You will work with a range of external stakeholders and act as a key contact point.
You’ll manage registers, secretariat records and keep track of activities for reporting purposes. You will assist with developing coordinated policy positions among DRCOs.
This is a fully remote role.

YOUR TALENT AND CAPABILITIES
You have a talent for organisation and coordination, bringing tasks to fruition and people together. With about five years in a policy, operational or administrative role, you are adept at communicating with a wide range of stakeholders, have impeccable attention to detail and good writing skills.
You can turn your hand to different technologies to manage records and other data.
As part of a small team, you are flexible enough to help out when needed. Ideally, you will have a knowledge of the disability sector and if not, the willingness to learn.

DANA has responsibility for delivering the secretariat function for the NDIA / DRCO (Disability Representative Carer Organisations of which there are 20) forum which is designed as a central hub for overseeing co-design and collaboration for reform within the NDIS.    DANA’s scope of work for this includes:
  • Performing a joint secretariat function for each DRCO Forum
  • Partnering with the NDIA to co-manage agreed Forum work programs, fostering DRCO collaboration, information sharing and peer to peer support
  • Providing dedicated resources to act as conduits between the NDIA and DRCOs
  • Providing dedicated resources to support DRCO Forum Working Groups, or similar, to deliver NDIS reform in line with agreed Forum work programs.

About the Role
 
Role Purpose
This position is responsible for providing the policy assistant, secretariat ,logistical and administrative support to the DRCOs in their work with the NDIA.
Success measures for this role include:
Effectiveness and efficiency of meeting support including meeting stipulated timeframes
  • Joint policy proposals developed
  • Currency and accuracy of Secretariat registers and records
  • Contribution to team dynamics

Key Responsibilities & Main Activities 
 
Secretariat Support
  • Work with the Secretariat Manager to schedule DRCO forum meetings and working group meetings for the year
  • Develop and maintain a broad understanding of NDIS reform issues
  • Assist the Secretarial Manager to coordinate agenda items for DRCO forums, working groups and other meetings, including joint policy positions
  • Distribute meeting agendas within required timeframes
  • Manage meeting invitations, collating attendance lists
  • Liaise with meeting participants to determine and arrange accessibility requirements
  • Attend meetings, record attendance and take minutes in the required format
  • Assist with Secretariat Manager to follow up action items from meetings
  • Act as the point of contact for DRCO members and the NDIA
Logistical Support
  • Maintain required registers and records of work such as DRCO members, risk, stakeholder engagement and NDIS reform program of work
  • Assist with reporting against contractual requirements
  • Draft correspondence and communications for external stakeholders
  • Provide follow-up support as needed or directed
  • Assist with the development of resources as required
Organisational Participation
  • Participate in DANA and / or Secretariat planning and professional development activities
  • Comply with DANA policies and procedures
  • Represent DANA and the Secretariat in a professional manner, and in accordance with purpose and values
  • Comply with all WHS requirements, including caring for own health and safety and that of others
  • Provide regular reporting as needed
  • Undertake other duties as directed
Selection Criteria
Essential
  • Commitment to upholding the rights of people with disability
  • Minimum four years’ experience in a policy, operational support or administrative role
  • Strong verbal communication and interpersonal skills with the confidence to liaise with a wide range of stakeholders
  • Good written communication skills
  • An organised and methodical approach to work
  • Excellent attention to detail
  • An understanding of disability issues and the disability sector or willingness to develop this knowledge
  • A flexible approach, being prepared to roll your sleeves up in a small team environment
  • Strong computer literacy
  • Ability to maintain productivity and motivation in a remote working environment
  • Suitable remote working facilities (ie, working from home)
Desirable
  • Experience taking minutes and creating documents in accessible formats
  • Experience in arranging accessibility requirements for people with disability
